Solutions to Document Security Issues In High-Speed Mfu Ricoh

Standard security features
As the development of office products, a greater role is played by threats to document security: theft, leakage of electronic data falsification. Customers expect an increasingly high level of protection and security from their MFIs. New Ricoh Aficio MFPs provide advanced security features, such as Windows authentication, LDAP authentication and hard drive data overwriting (DOS). These functions restrict access to the device, identify possible data recipients, and protect data from misuse.

Simple and reliable user authentication
The authentication function of Windows / LDAP / basic authentication has been improved, which has made it possible to make the login procedure more clear and user-friendly. On the early Aficio models, there were six steps that the user had to perform for authentication to the Ricoh MFP. In new models, you only need to complete 4 steps to verify user rights. The new 4-step logon process is as follows:
♦ The user clicks the login button on the control panel
♦ The user selects the document type and presses the input button on the LCD screen
♦ The user enters a name and presses OK
♦ The user enters the password and clicks OK.

Data protection against unauthorized copying
This feature prevents unauthorized copying of confidential documents by overlapping an unseen eye of the raster mask on the original document being printed. When you copy such a document, the mask is brought to the foreground, making the hidden texture or warning message visible. When installing an additional protection option, instead of displaying a mask, the entire entire surface of the sheet is grayed, making the information in the document unreadable. If this option is set and activated, the scanner and fax functions are deactivated.

Module for the complete removal of data from the hard disk
Another function that ensures the security of user documents, it overwrites temporary data on the hard disk with a random sequence of 1 and 0. Random data is overwritten twice to ensure that the original data can not be restored. This method of data rewriting is standard in the US Department of Defense and is commonly used in computer security systems.

So, the main directions of solving security problems of documents in high-speed Ricoh MFPs are:
♦ 500 eight-digit user accounts;
♦ Administrator authentication; Protection of the device and network settings;
♦ Authentication of users; Determine the rights of users to the functions of the device;
♦ Restricting access; Determine the level of access for individual users;
♦ Windows Authentication for implementing restrictions on network access;
♦ Module for the complete removal of temporary data from the hard disk.
