How important it is to correctly record a work record

Among the personnel documents there is one that any employer always asks for when applying for a job. This important document is a work book. It reflects the entire life path of the worker. The first entry in the workbook, as a rule, is done at the beginning of the length of service at the first place of work. Usually it happens after the termination of any educational institution. Young specialists, having received the luggage of theoretical knowledge, are sent to work at the enterprises of the country in order to practice their skills in practice.

The document begins with the title page. The entry in the workbook is made by the company's HR specialist on the basis of the employee's personal documents provided: a passport, certificate or diploma about the end of an educational institution. Then on the first page an entry is made about the education received before employment. Any work book contains four sections, which must be filled in. The first of these is the ordinal number of the records. Then follows the second section - the date of making the next note. Then, in the third section, the entry itself is entered directly in the workbook. This can be information about education, military service, employment, dismissal or transfer. The last (fourth) section contains the reasons for making the corresponding entry. In this capacity, a diploma, military ticket or order with mandatory indication of the serial number and date of issue (or publication) may be issued. The entry in the workbook must certainly be done in a legible handwriting and preferably without corrections.

A special instruction has been issued to help the cadre workers, which contains the rules for maintaining and filling such a document. It describes in detail all the requirements, and for each specific case is given an example of a record in the workbook. All records without exception must be made strictly in accordance with the above examples without any "liberties" of various kinds. Each information on changes in the work activity of the employee must be clearly fixed and fully correspond to reality. Confirmation is the document (order), on the basis of which it is made. The wording of the order must necessarily correspond to the record. The last column indicates the date and number of the document. They provide an opportunity to confirm the information by checking with the archive data.

The workbook contains not only records of personnel movements, but also data on employee incentives and awards. Special pages are dedicated to this. They are also filled in accordance with the examples specified in the instruction.

Most often, two types of records are entered in the work record book of any employee: on hiring or on dismissal. The information about the reception usually briefly express the essence of the issued order. Dismissal can be for various reasons. It is the personnel officer who, taking into account the circumstances, determines the wording of the order with an indication of the relevant article of the Labor Code. If there is a dismissal of one's own volition, a record in the employment record is clearly entered, indicating the reason and the legislative base. The reason in this case is the worker's own desire, and 77 articles of the Labor Code of the Russian Federation are used as the legislative basis. This article contains 11 items. They disclose the circumstances in which the employee expressed a desire to terminate the previously concluded employment contract. When entering an entry in the document, the personnel officer is required to indicate the relevant clause of the article on the basis of which the labor relations between the parties will be terminated.

It is desirable that all entries are entered in the workbook without corrections. But sometimes, due to inattention of employees of the personnel service, mistakes may be made. In this case, the HR specialist must correct the problem accordingly, so that in the future they can not create problems for the employee when they are placed in a new place or when they are given a pension at the end of their employment.
