Rules of registration of documents

The activity of any business entity is related to the need to compile a large number of documents, the registration of which is tied to unified forms, and also has a managerial and daily function (certificates and orders, powers of attorney and orders). Quite often there are questions about the size of the fields and the font, the location of stamps, etc.

The rules for issuing documents are governed by GOSTs. These regulations have been developed and approved at the federal level. The requirements contained in them are of a recommendatory nature. They find their application in the administrative and organizational documents that are included in the unified system. These include orders and decisions, decisions and orders, acts and protocols, letters, etc.

Rules of registration of documents establish the list of requisites that contain them, as well as the requirements for their registration. In the annexes to GOSTs there are samples of forms. In connection with the fact that the standards for the preparation of documents are of an advisory nature, each business entity must issue a local regulatory act. The forms on which the documents are made must correspond to A4 or A5 formats. The paper must be white in color. It is allowed to use blanks of light tones. The right margin of the document should not exceed ten millimeters. The other three - to separate the text from the edge of the sheet with a distance of at least two centimeters.

The rules of registration of documents provide for the possibility of placing on forms:

- the state emblem of Russia;

- the emblem of the subject of the Russian Federation;

- emblems of the organization.

Rules for registration of details of documents regulate the placement of these signs above the name of the business entity. Even lower on the form are the organization's reference data. They are:

- number of state registration in tax authorities of OGRN;

- Taxpayer Identification Number / Check-Point, for registration in the Tax Police Department;

- OKUD, classified as the code of the form of the document;

- OKPO code.

General rules for the execution of documents state that the props, which is the name of the organization, must correspond to that which is recorded in the statutory acts. If a business entity has a shortened abbreviation, then it should also be indicated. An obligatory reference element is also the name of the organization that performs the function of a superior.

The number of the document under which it passed the registration procedure includes the ordinal number, which can be supplemented by the index fixed in the nomenclature of cases, as well as notification of the performers, the correspondent, etc.

Rules of registration of documents provide for affixing the name of the addressee. They can be both organizations and units that are part of their structure, as well as individuals and officials. The document is approved either with the help of a signature by its authorized person, or by drawing up a separate act. The form can be transferred to the executors with the resolution. This props contains the formulation of a specific task, as well as the timing of its execution.

The title should reflect the type of document, and also include its summary. The main text, which is compiled in the state language in accordance with legislative acts, is made out in the form of a coherent narrative, questionnaires, tables, and also the connections of all these elements.
