How to correct a record in the workbook? "Entry is invalid": sample patch

A workbook is a particularly important document that not only keeps records of seniority, but also helps in the future when calculating pensions. Not all staff members correctly record in the work book. "The entry is invalid" - what does this mean, and in what situations does the phrase appear in the document?

How to be guided?

In order to make a change or correction to the work book, it is necessary to study those normative acts that serve as a support for any employee of the personnel department. These include:

  • TC RF, namely those parts in which it is prescribed, what formulations take place in the work book.
  • Rules for the management and storage of labor books, approved by the Government of the Russian Federation. Here it is written out how to keep and store forms of labor and liners to them, as well as who has the right to produce these documents and distribute.
  • Instruction on filling labor books, approved by the Decree of the Ministry of Labor of the Russian Federation of 10.10.2003 No. 69, which prescribes the rules for filling out a work form. More specifically it is clause 1.2, clause 2.3 and clause 2.4.

Recognition of the invalid entry in the workbook or the introduction of any additions should be based on one of the paragraphs of the above document.

Change, correction or addition?

The entry in the workbook "the entry is invalid" - what is it? Addition, correction or modification of the mark made before this?

The notions of "change" and "addition" speak respectively about changing or supplementing the previously entered correct (this is most important) record. Correction also involves replacing the incorrectly entered, incorrect entry.

Who can make corrections?

"Recording is considered invalid" - not everyone can write in the workbook and not for any reason. Without these powers and without the necessary reason to indicate anything in the document is prohibited. If an error is detected

Errors are mainly found by those employees who conduct labor. Sometimes they are discovered by the workers themselves after their dismissal. Deficiencies also emerge during the audit of personnel documents.

Typical errors include:

  1. Incorrect information about the employee. If an error is found on the title page, where the main information is indicated, you need to collect and submit all the necessary documents: passport, diploma of education, marriage certificate or divorce. Further, an application is submitted to the employer with a request for correction of the erroneous entry. After, based on the data submitted and the application, a record is made in the workbook: "The entry is invalid." Put the date and signature of the authorized person. In the event that an error has been made in the last name, first name or patronymic, the employee will have to go to court to justify the ownership of the work record book and correct this record.
  2. The information in the sections of the work record is incorrect. If the employee has already settled into a new organization, and the mistake was made at the previous place of work, the citizen must write an application to the former head about the provision of the necessary documents, based on which the new employer will correct the error and enter correct data. If an enterprise that made a mistake in the workplace was liquidated or closed, you can request the necessary documents in the archive of the city where the organization was registered.

The wording - "entry is invalid" - in the workbook, the sample of which is shown below, must be accompanied by the record number, the employee's signature and the date on which the record was corrected.

General correction rules

Incorrect data that was found in the sections can not be crossed out, deleted or corrected. It is only possible to put an entry in the workbook: "The entry is invalid." Under a certain number with the correct data. If corrections need to be made on the first page, then it is permissible to strike out the old information, but next you need to write the actual one. At the same time on the crust of the labor it is necessary to refer to the documents on the basis of which the correction is made.

You can correct it with either a blue or black pen, preferably gel. These inks are resistant to light and moisture. Words can not be reduced.

Algorithm of correction

  4. The fourth column should be filled with a reference to the order, which contains the correct data.

If the error is made on the title page, then the correction algorithm is as follows:

  1. One feature is to cross out the old record.
  2. Next to the strikeout, write the latest information.
  3. On the crust of work, you need to write a link to the document that confirms the changes.
  4. The link must be certified by the seal of the organization and the signature of the authorized employee.

Court order

If a decision on illegal dismissal is made at the court session, the entry in the work book must be declared invalid and the employee should be reinstated. All these actions should be documented. In the third column, after the record of the invalidity of the previous wording, information should be sent on the restoration of the employee, and in the fourth, a reference to the relevant document (this will be the order for restoration). The correction record must begin in this case with the name of the organization.

Also, an employee can receive a duplicate of work, where the manager is required to rewrite all records, except for that which is recognized invalid by the court. In this case, you must make a note on issuing a duplicate on the issued work record book, and on the spread you should indicate that it is a duplicate. At the same time, the employee does not provide any documents.

Individual cases

If an error is found in the date of entry of a record of employment, you need to do the following:

  1. In the first column, put the serial number.
  2. In the second - the date of the correction.
  3. In the third column write: "Record for the number ... is invalid," and below the same wording as in the previous entry, but with the correct date of admission.
  4. In the fourth column are the requisites of the order for admission.

And if an error is found in the numbering? Moreover, for example, if an employee has changed several organizations or transferred from office to office, and between the erroneous and last numbering a large number of records. Experienced staff workers advise not to touch intermediate records, but to recognize only the number in the last record as invalid so that the total number of entries in the work record coincides.

It happens that the numbering is repeated, but the records have a different date. What should I do not to ruin the work book? "Entry is invalid" - the text is indicated for the number and date that are incorrect. If the entries have the same number and date, then you need to add the letter "a" to the wrong record number and then refer to the number with the letter "a". If the record does not have a number, then it must be put, and then refer to the correction to this number. If the previous record was found without a number, then in the labor one you can simply write: "Previous entry is not valid". And to put all the necessary requisites.
